Cover Letter Examples for Your Resume, Written by Job
Six short cover letters written for real jobs, each showing what that field screens for first. Copy the structure, replace the brackets, and send a letter that sounds like you.

Key takeaways
- A good example cover letter for a resume runs four short paragraphs and fits on one page with room to spare.
- The opening names the exact job title and requisition number, then places you in a single line: your credential, your years, your scope.
- The second paragraph quotes two requirements from the posting and shows you already do both.
- What changes from job to job is the evidence. A nurse offers a license number, an engineer offers p95 latency, a customer service rep offers handle time next to first contact resolution.
- Borrow the structure and the kind of proof. Replace every bracket, and rewrite any sentence that doesn’t sound like you.
Below are six short cover letter examples written for real jobs, from registered nurse to project manager. Each follows the same four-paragraph shape and is adapted from the cover letter in that job’s resume kit, with [BRACKETS] where your details go. Pick the closest one, then use the ten-minute method below.
Cover letter examples for a job application: which one fits you
Start with the example closest to your job. Each letter leads with the fact a screener in that field looks for first.
| Job title | Industry | What the letter leads with |
|---|---|---|
| Administrative assistant | Operations and admin | Whose time you manage, and your authority over their calendar |
| Registered nurse | Healthcare | State license, unit type and patient assignment per shift |
| Customer service representative | Customer service | Your vertical, channels and daily contact volume |
| Teacher | Education | License, subject and grade band |
| Software engineer | Technology | Your stack and the service you own in production |
| Project manager | Product and project | Project size, workstreams and delivery method |
What an example cover letter for a resume should show

Your resume lists what you’ve done. A cover letter for a resume has a narrower job: it connects two or three things this employer asked for to proof that you do them now.
The first lines decide whether the rest gets read, so front-load what they screen on:
- Hook. The job title as the posting writes it, the requisition number if there is one, and one line that places you.
- Proof. Two requirements quoted from the posting, then what you do that meets them, with numbers.
- Fit. One or two things beyond the posting’s list that the manager will care about, and one concrete reason for this employer.
- Close. Resume attached, interview availability and start date. In a short letter the “why them” line and the close often share the last paragraph.
That’s roughly 200 to 300 words. More on each part: how to write a cover letter and how long a cover letter should be.
Administrative assistant cover letter example
This title runs from front-desk coverage to supporting a board. Place yourself in that range by line two.
Dear [Hiring Manager Name],
I’m applying for the [Administrative Assistant] role at [COMPANY NAME], req [NUMBER]. For [X] years I’ve supported [X] [executives / managers] in [SECTOR], and today I run their calendars, their travel and the weekly meeting cycle.
Your posting asks for [FIRST REQUIREMENT] and [SECOND REQUIREMENT], which is my normal week. I hold delegated authority over [NAME]’s calendar, so I decline and move meetings, not only enter them. I book about [X] trips a month and follow each one through to the reconciled expense claim. For the [weekly leadership] meeting I prepare the agenda and papers, take minutes and chase each action until it closes.
I also decide what reaches the people I support. Their inbox is screened against rules we agreed together, letters go out in their voice for signature, and [personnel / commercial] matters stay confidential until they’re announced.
[COMPANY NAME] interests me because [SPECIFIC REASON]. My resume is attached. I can interview [AVAILABILITY] and start [DATE].
Sincerely,
[Your Name]
Why it works: “delegated authority” separates executive support from data entry, and it sits in the proof paragraph. What to change: if you cover a front desk rather than an executive, swap calendar authority for visitor, phone and mail volume. The full letter is in the administrative assistant kit, and bullets are in our administrative assistant resume examples.
Registered nurse cover letter example

Nurse recruiters check the license before anything else. Put the state in the first sentence and your assignment size in the second.
Dear [Hiring Manager Name],
I’m applying for the Registered Nurse position on [UNIT] at [EMPLOYER NAME], requisition [NUMBER]. I’m an RN licensed in [STATE] with [X] years in acute care, currently taking [X] patients per 12-hour shift on a [X]-bed [SPECIALTY] unit.
You’re asking for [FIRST REQUIREMENT] and [SECOND REQUIREMENT]. Both describe my current shifts. I run the nursing process for my assignment from admission assessment to discharge teaching, give medications with barcode scanning in [Epic / Cerner / Meditech], and delegate vitals and ADLs to [X] nursing assistants while staying accountable for the result.
Beyond my own patients, I take charge [X] shifts a month and precept new graduate nurses through competency sign-off. I led our unit’s work on [QUALITY METRIC], which moved from [X] to [X] over [TIMEFRAME]. My BLS and ACLS certifications from the American Heart Association are current, and [I hold CMSRN / I plan to sit for CMSRN in MONTH YEAR].
I’d like to join [EMPLOYER NAME] because of [THE PATIENT POPULATION, RESIDENCY MODEL OR SERVICE LINE]. My resume is attached, and my license can be verified through the [State] Board of Nursing, number [NUMBER]. I can interview [AVAILABILITY] and start [DATE].
Sincerely,
[Your Name], RN
Why it works: delegation shows RN scope. A nursing assistant receives delegated tasks; the RN delegates them and keeps the accountability. What to change: new graduates swap charge shifts and precepting for clinical rotations and the capstone unit, as in the new grad nurse resume guide.

Registered Nurse Resume Kit
A resume and cover letter written for acute care nursing, with the license, BLS and ACLS lines where screeners look first. Brackets mark your unit, ratio and EHR.
Customer service representative cover letter example
Insurance, healthcare, banking and retail reps share a job title and work under different rules. Name your vertical in the first two lines. If you hold a state insurance license, that goes up front too.
Dear [Mr./Ms. Last Name],
I’m applying for the Customer Service Representative position at [COMPANY NAME]. I’ve spent [X] years in [insurance / healthcare / retail / banking] customer service, handling about [X] contacts a day across [phone, chat and email]. [I hold a [STATE] Personal Lines license.]
On the first contact I resolve [X]% of issues, and my average handle time sits at [X] minutes. You get both numbers on purpose. They pull against each other, and deciding which one a customer needs right now is most of this job.
A lot of the work is explaining decisions I didn’t make. So I know exactly what I’m allowed to do, [such as crediting up to $X without approval], and I use all of it before I escalate. My quality score is [X]% and my schedule adherence is [X]%.
[COMPANY NAME] appeals to me because of [THE PRODUCT, THE CHANNELS OR HOW THE TEAM IS RUN]. I’m available [DAYS AND HOURS; ON SITE, HYBRID OR REMOTE] and would like to talk about where your queue loses time. Thank you for your time.
Sincerely,
[Your Name]
Why it works: first contact resolution and handle time together, with the reason, show you understand how the floor is managed. What to change: if your employer never shared those numbers, lead with your quality score and adherence instead. More in customer service resume skills, and the full letter is in the customer service representative kit.
Teacher cover letter example
Schools filter on certification area first. Your license line should carry the state, the subject and the grade band, written the way your certificate writes them.
Dear [Hiring Manager Name],
I’m applying for the [SUBJECT] teacher position at [SCHOOL NAME], [REQ NUMBER]. I hold a [State] Professional Teaching License in [SUBJECT], [GRADE BAND], and I’ve taught for [X] years, currently [X] students across [X] sections.
Your posting asks for [FIRST REQUIREMENT] and [SECOND REQUIREMENT]. I write my own units against [STATE] standards within the district framework, build common assessments with my [SUBJECT] team, and look at the results every [X] weeks to decide what gets retaught.
Of my students, [X]% have an IEP or a 504 plan. Their accommodations happen in my lessons, delivered by me, and I attend [X] IEP meetings a year. Outside my room I [lead the grade-level PLC / chair the department] and host student teachers.
[SCHOOL NAME] appeals to me because of [THE STUDENT POPULATION, A PROGRAM OR SOMETHING FROM YOUR VISIT]. My resume is attached, my license can be verified with the [State] Department of Education under number [NUMBER], and I’m happy to share sample unit plans. I can interview [AVAILABILITY] and start [DATE].
Sincerely,
[Your Name]
Why it works: “decide what gets retaught” shows you act on assessment data, and naming IEP and 504 delivery answers a question the interview will raise anyway. What to change: elementary teachers with one class all day replace sections with grade and class size. The full letter is in the teacher kit; teacher resume skills covers the resume side.
Software engineer cover letter example
When a tech application asks for a letter, keep it short and technical: your stack, and a service you own in production.
Dear [Hiring Manager Name],
I’m applying for the Software Engineer role at [COMPANY NAME], [REQ NUMBER]. I’ve spent [X] years building [back-end / full stack] features in [LANGUAGE] and [FRAMEWORK] on [CLOUD], and I own [SERVICE], which handles [X] requests per [PERIOD].
You’re looking for [FIRST REQUIREMENT] and [SECOND REQUIREMENT]. That’s my current work: I take features from a rough requirement through design, tests and deployment, and I’m on the on-call rotation for what I ship.
Two results I’d point to. Latency at p95 on [ENDPOINT] dropped from [X] ms to [X] ms after I [SPECIFIC CHANGE], and recurring pages fell from [X] to [X] a month. Before refactoring [LEGACY MODULE], I wrote characterization tests to pin down what it actually did.
[COMPANY NAME] interests me because of [THE PRODUCT, THE SCALE, THE STACK OR A POST YOUR TEAM WROTE]. My resume is attached and my GitHub is at [LINK]. I’m available for a technical or system design interview [AVAILABILITY].
Sincerely,
[Your Name]
Why it works: on-call ownership says you write code you’ll be paged for, and characterization tests before a refactor is a detail from real work. What to change: new graduates swap the owned service for a deployed project and a merged pull request. Our software engineer resume examples show the same results as bullets.

Software Engineer Resume Kit
A resume and cover letter built around shipped services, on-call ownership and code review. Brackets mark your stack, latency figures and request volumes.
Project manager cover letter example
A project manager’s letter should read like a status report you’d trust. Size, method and one honest moment beat a list of soft skills.
Dear [Hiring Manager Name],
I’m applying for the Project Manager position at [COMPANY NAME], [REQ NUMBER]. Over [X] years I’ve delivered [SECTOR] projects worth up to [$X], most recently leading [X] workstreams and [X] matrixed staff under [waterfall / Agile / hybrid] delivery. [I hold the PMP credential.]
Your posting asks for [FIRST REQUIREMENT] and [SECOND REQUIREMENT]. I build the work breakdown structure and critical path myself, get estimates from the people doing the work, and assess every change request for impact before anyone agrees to it. My RAID log is updated weekly, not written once and filed.
On [PROJECT], I told the sponsor [X] weeks ahead that the go-live date wouldn’t hold, and we agreed a new baseline instead of reporting green until the end. I’ve turned down [X] change requests after impact assessment. At closure, benefits go to a named owner with a date to measure them.
[COMPANY NAME] interests me because of [THE PROJECT TYPE, SECTOR OR CHANGE UNDER WAY]. My resume is attached, and I can walk you through a redacted plan and RAID log. I can interview [AVAILABILITY] and start [DATE].
Sincerely,
[Your Name], PMP
Why it works: telling a sponsor early that a date won’t hold is what a hiring manager remembers, because the project reporting green until the last week is the one that fails. What to change: no PMP yet, cut that bracket; in construction, name Primavera P6 and change orders. The full version is in the project manager kit.
How to adapt an example cover letter in ten minutes

Open the job posting next to the example. The posting tells you what goes in the brackets.
- Copy the job title and requisition number exactly as the posting writes them.
- Highlight two requirements you can prove. Prefer ones near the top of the list, and quote them in paragraph two.
- Fill the number brackets from your own records: patients per shift, contacts per day, trips per month, requests per day. If you don’t know a number, estimate conservatively or cut the clause. Never invent one you’d struggle to defend in an interview.
- Write the “why them” line last. One fact about this employer that you couldn’t say about the next one: the unit, the product, the student population, a project they announced.
- Read it aloud. Rewrite any sentence you wouldn’t say to the hiring manager’s face.
- Search for “[“ with Ctrl+F (Cmd+F on a Mac). Every hit is a placeholder you missed.
To check the letter and resume against the posting’s wording, paste both into the free ATS keyword checker. If you’re choosing a file to write in, we cover cover letter templates for Word and cover letter templates for Google Docs.
Mistakes that make a cover letter read like a template
These lines tell a recruiter the letter came from a free sample:
- “I am writing to express my interest in the position.” The reader knows. Open with the job title and your one-line placement instead.
- “I am a hard-working team player with excellent communication skills.” Three claims with no proof. Replace them with one number.
- Leftover brackets, or the last employer’s name.
The second answers a recruiter’s first three questions in two sentences. More openings: how to start a cover letter.
Common questions
Can I copy a cover letter example word for word?
You shouldn’t. Popular free samples get sent by a lot of applicants, and a recruiter who has read one will recognize it. Keep the structure and the kind of evidence, and use your own words and numbers.
How long should a cover letter for a resume be?
One page, usually four short paragraphs of about 200 to 300 words in total. Every example above fits that. If yours runs longer, cut the paragraph that repeats your resume first.
What if I don’t know the hiring manager’s name?
Check the posting, the company’s team page and LinkedIn for the person who runs the team. Failing that, “Dear Hiring Manager” is fine. Avoid “To whom it may concern”, which reads as a form letter.
Do I need a cover letter if the application says optional?
Send one when you have something the resume can’t say: a career change, a relocation, a gap, or a direct match to two requirements worth spelling out.
